I'm a Head Contractor

Welcome to the Head Contractor Feedback Forum. We encourage all Builders to post suggestions and ideas for improving EstimateOne. Posting new ideas and voting on existing ideas will help us understand what improvements our Users want to see made to the EstimateOne platform.

  1. Include a field for us to enter the Estimator's direct phone (or mobile) number in the Project Details.

It would be handy to include a field for our estimators direct phone (or mobile).

By default the phone number listed would be the company phone number. We have an estimator who works from home, so it would be good if we could list their mobile instead of the office number for projects they are looking after.

In doing so, we would like the Estimator's direct phone number to be included in all correspondence emails our Subbies receive.

Thanks for putting your support behind this idea. We are currently investigating how we can better direct communications to both the estimating and construction teams that work on a project. We think this would be a huge time saver for Builders along with making Subbies jobs much easier. Once we have a better idea of how we would deliver this functionality we will be in touch to discuss it with you. Cheers, Gilad.

  2. Display mobile phone number over the office phone number

In the "INVITES & RESPONSES" tab of a project, the "PHONE" column will always prioritise the office number/company number of each contact over their direct phone number.

E.g. if I add a phone number to the company (02 XXXX XXXX) and then add a contact to that company with a mobile number (04XX *** ***), then the company number will be displayed in the "PHONE" column of the project when an invite is sent to that person rather than their mobile number.

    Hi Jess,
We can see this is an important feature to you! We currently surface the company office number to maintain confidentiality of private information. We do understand that every company has unique requirements, so we may consider adding an option to include a mobile number, that way you can chose what’s right for you and your business.
For the time being, we recommend utilising the project description section to share alternate contact number/s. Happy tendering!

  3. Allow me to export a Subcontractors Transmittal in Excel format

This would be great as it would be in a format that is consistent with the "Document Register" I export from the documents page. This would also mean I do not have to show the Subbies 2 very different transmittals.

Thank you for your feedback. We understand the benefit in this and will consider implementing the ability to export Document Register on a subcontractor level.

  4. Add a way to search the Address Book to show Subbies in or near to a specific location

I just wanted to know if is possible to go to the "Address Book" tab and have an option for putting a job address in in the search section to locate local subcontractors close to that area from our subcontractors list.

As this option is not available it would be great to have this as it will help me find all my local sub-contractors for each job sites that I want.

This is a great suggestion and somehting for us to consider as we continue to make improvements to the Address Book in the coming months

  5. Allow Builders to add and edit their own disciplines

We would like update our own disciplines to reflect the way we break up pricing for our clients.

Our disciplines will change over time so we will want to update the discipline headings going forward.

  6. Add "I'm no longer quoting" links in Broadcast Messages and Addenda Notifications emails

Links should be added to Broadcast Message and Addenda / Revision notification emails that allow the subcontractor to indicate they are not going to be pricing the tender, just like in the initial "Invitation to Tender" email.

Thanks for putting your support behind this idea. We can see how allowing subcontractors to update their quoting status more often will boost your response rates.

  7. Project Status: 'Under Negotiation'

    Good Morning Zaiga & Sophie.

Further to my earlier suggestions by e-mails to Sophie and Melanie, can you please include an additional option as 'Under Negotiation' or a similar wording in addition to 'Awarded/Lost/Withdrawn' under ACTIVE PROJECTS. Furthermore, if you are running out space, 'Withdrawn' can be replaced with 'Under Negotiation' as I believe this is hardly used by any builders.

    Hi Jay,
Thanks for the feedback, interesting idea. We’d love to know a bit more about why this is something you’d like to see. Negotiation can be a very short period, is there a specific scenario you have in mind where you’d find this information valuable?

  8. If a subbie has closed business- allow an inactive button, which allows you to see their previous involvement without deleting them.

If a sub-contractor has stopped tendering, an inactive button will allow you to see what they've priced without deleting them permanently.

    Hi Valentina,
Really good idea! We are committed to improving the functionality of the Address Book and we will continue to investigate and work out the best ways to do it. This is something we will definitely dive deeper into. For the moment as a work around, I would recommend you remove their email address’ (preventing them from displaying at the invitation step), or adding them to an insolvent / out of business list as a way of keeping on top of them.

  9. Allow a "Scope of Works" to be entered for each package I create

This will allow us to convey the work required for each package we create. It will ensure this is consistent for all recipients of a single package and will allow us to update these on a package by package basis.

Scopes would not need to be downloaded only "Read and Agreed to" by Subbies. Allowing us to update a scope and issue notifications of this change separate to an Addendum or Revision will also make it easier to keep Subbies up to date with what we expect them to quote on for a project.

Thanks for the suggestion. Innovative ideas from our Users about how we could make your lives easier are always welcome.

  10. Subcontractor Addition Date

When adding subcontractors to address book there should be an option of inputting a date to know when we added them

Thanks for the suggestion, great idea!

We know that this would be helpful for you to manage how current your Subcontractors are, and assist you in managing your address book.

We will be looking into this and other improvements to the Address Book shortly and will take this suggestion on board. In the meantime, we recommend making a note of the date a contact was added in the notes section of the Contact Details for your referral.

  11. Keep an Audit Trail of changes made to companies in my Address Book.

So that I can view if contact or company details have been recently changed in my Address Book.

It would be good if I could see who (Users of my Account) made the changes, when the changes were made and what the details were changed from/to.

It would also be handy if we could view all the changes made in the last 12 months, as opposed to just the most recent 3 changes.

Thanks for your feedback. We understand that this would give you better transparency in your EstimateOne account and help keep you on top of your Adresss Book. We will keep this great idea on board for when we look into improving the Address Book and how you can manage it.

  12. document request

    DOCUMENT REQUEST
An extra button to 'comment' back to subbie to let them know why their request was rejected.
AND more information is required on a subbie, perhaps a company profile, this will be important when deciding if they are suitable for the project .... sometimes their trade is not required (hence 'full set requested)
ALSO - why are some of the Subbies on Doc. Request section appearing on the printed version of the Subcontractors List when they have NOT been Approved .... this is annoying

    thanks Jan

Thank you for this suggestion Jan, we can see how it would be valuable for you and subbies equally. It’s on our radar!

  13. Include the Date and Creator of a Note when exporting Notes to Excel.

At the moment we are having to manually input this information. As a number of our staff could be adding notes to a particular project at various times, it would be helpful to automatically include it.

Thanks for your suggestion! We can definitely understand why date/creator information would be important. We are happy to take this onboard as a consideration for future improvements.

  14. allow Builders to include "terms and conditions" of tender that Subcontractors must agree before they can access documents

For sensitive projects such as defence or government works we often require Subcontractors to agree to some conditions of the tender. This is usually a document the Subcontractor signs and returns to us. It would be good if we could enter the conditions of tender straight into EstimateOne and have Subcontractors agree to these conditions (by ticking a box) before they can access documentation

Thank you for this suggestion! It definitely makes sense, it’s something we will look into.
If it helps, the best way to do this at the moment would be inviting your subbies to a seperate tender and issuing them the required contract. When they sign and return, you can create a new tender issuing the documentation to the compliant subcontractors.

  15. When inviting Subbies to tender allow me to see when an Address Book entry was last updated

This will give me an idea of how current the Subbies' contact information is.

Thanks for your feedback. Great suggestion, we will be looking into how we can improve the information in the Address book and bring useful information like this to the forefront of the app. We understand that this would be useful for keeping the whole team up to date.

  16. Allow me to Export a "Document Register" that shows all of the documents added to a Subcontractors pacakage

When signing up a Subcontractor to a project I am required to generate a register of every document that they were sent and when it was made available to them. This is then included as part of their contract.

This register should include all documents the Subcontractor was sent throughout the tender period along with when each document was updated.

When I export the Document Register it shows all documents added to the project and when they were added but this is not specific to the package the Subcontractor was sent.

"Transmittals" sent to the Subcontractor do not give us…

Thanks for your suggestion. A subcontractor focused Document Register is something we have heard from a couple of different builders over time. It is definitely worth investigating further, and we will keep it in mind as we look to make further improvements to documentation management on EstimateOne.

  17. Deleting Contacts in the Address Book

As a Head Contractor, our address book has evolved over the last decade to have in excess of 3,500 subcontractors and suppliers. It is hard to manage this database and keep it updated. To start, I was trying to delete contacts that were redundant, and was thinking that there may be a need to organize/delete contacts a faster way than what is currently the process.

Also is there a way to organize the contacts of when their last point of contact was.

Thanks for this comment Jono, we’re currently reviewing the address book function to help you manage your contacts and eliminate redundant contact details, stay tuned.

  18. Add an Undecided status that can be assigned to Subcontractors on my Invites & Responses

This would allow me to record if a Subcontractor is yet to confirm whether or not they intend on quoting on a project. This will then allow me to focus on contacting Subbies who are yet to confirm if they are pricing as a priority.

Thanks for your suggestion. We’re looking at ways to improve the response management on the Invitations and Responses page and will consider this when making changes.

  19. Add another field under 'Update Your Closed Projects'

Currently under 'Update your closed Projects' there are 4 options.
    Pending. Awarded. Lost. Withdrawn.

Is it possible to add another called 'Project did not proceed'.

Currently we have a project that we were preferred builder but the finance fell through on the client side. So none of the current options really apply to this scenario and will be misleading to our subcontractors.
This is not a one off situation either - we've had several projects not proceed due to financial reasons even through we were the successful builder.

Great suggestion! We understand the value of tracking project status and we acknowledge that more can be done to do this effectively.

For the time being we would recommend using our “New Correspondence” feature in the Invites & Responses page. This would allow you to quickly issue correspondence to your subbies, updating the status of the project. We will look into adding some additional options.

  20. Add the following statuses to the Invites and Responses page so we can assign these to Invitations

    • Left Message
    • Ring (informing a cadet or someone to call this contractor)
    • Maybe Pricing (so we can follow them up)

Thanks for your feedback. Currently in the Invites and Responses page you can leave all this relevant information in the notes tab, and then have the person who needs this information ‘display recent notes’ in the Invites and Response page.

We will be looking into how we can improve the Invites and Responses page and make your follow up even more streamlined, and will take your comments on board.
