I'm a Head Contractor

Welcome to the Head Contractor Feedback Forum. We encourage all Builders to post suggestions and ideas for improving EstimateOne. Posting new ideas and voting on existing ideas will help us understand what improvements our Users want to see made to the EstimateOne platform.

  1. Project Status: 'Under Negotiation'

    Good Morning Zaiga & Sophie.

Further to my earlier suggestions by e-mails to Sophie and Melanie, can you please include an additional option as 'Under Negotiation' or a similar wording in addition to 'Awarded/Lost/Withdrawn' under ACTIVE PROJECTS. Furthermore, if you are running out space, 'Withdrawn' can be replaced with 'Under Negotiation' as I believe this is hardly used by any builders.

    Hi Jay,
Thanks for the feedback, interesting idea. We’d love to know a bit more about why this is something you’d like to see. Negotiation can be a very short period, is there a specific scenario you have in mind where you’d find this information valuable?

  2. Show how many quotes received from the subcontractor when inviting

When selecting subcontractor to invite to quote, we can only see their response rate, but not the quote number we received from them.

Can you make it shows how many quotes received from that subcontractor as well?

We can make it display "0 (100%)" for 0 quote and 100% response rate (who selected NQ) instead of just showing "100%". Or "1, 0, 100%" for 1 invitation, 0 quote, 100% respond rate.

Therefore it's much clearer for builders to decide who to choose between "1, 0, 100%" (bad) and "50, 40, 80%" (good).

Currently, we can only see "100%" (good) and…

  3. Subcontractor Tender List in Draft

Other platforms allow the subcontractor tender list to be selected and saved in draft. This allows the estimator to prepare the tender list for review by the wider team prior to issuing packages.

Hi Nicholas, thanks for your feedback. This is something that is currently on our radar. For the time being, we recommend creating a List on EstimateOne of the subcontractors for your team to review.

  4. Allow a document to be attached to correspondence

At the moment correspondence only allows for text to be input. The only way I can send a letter is to send it as an addendum which they will have to download, then open.

As some subbies quoted without downloading our documents or didn't download an update, the download will be polluted with other documentation. That's assuming they will even download it as it will come through as "document changes" . I want it to go as "Correspondence" with an attachment they can open from their email.

Being able to send correspondence to all subbies is great, but it could…

  5. Tender Responses "Revised" and "Rates" Option

For the Tenders and Responses Page it would be good to be able to update a subcontractors status from "Quoted" to "Revised" for when they send in an updated quote.

Additionally it would be good to have to option to mark a subcontractor as having submitted and be marked of as "rates" for when they just send a generic list of rates as this isnt technically a "quote"

Hi Jess, thanks for the feedback. This is something that will be looked into as part of a bigger piece of work we are currently undertaking.

  6. Subcontractor Audit Report - E1 Responses Export

Subcontractor Audit Report (subbies list) - OPEN TENDERS
When exporting the Subbies list, currently those whom were sent a tender request AND those on the PENDING REQUESTED LIST appear on this report.
The PENDING REQUEST LIST have not been APPROVED and should not appear on this report ....... and they are not wanted on this report.
This report is for those whom were sent a tender request by us (the builder)
ALSO consequently some subbies who are issued a tender request are NOT appearing on this subbies report.
They have been issued a package not supported by our trades list.…

Hi Jan, thanks for your feedback. We’re looking into ways we can improve the ways reports are generated through EstimateOne. We will take this feedback into consideration.

  7. document request

    DOCUMENT REQUEST
An extra button to 'comment' back to subbie to let them know why their request was rejected.
AND more information is required on a subbie, perhaps a company profile, this will be important when deciding if they are suitable for the project .... sometimes their trade is not required (hence 'full set requested)
ALSO - why are some of the Subbies on Doc. Request section appearing on the printed version of the Subcontractors List when they have NOT been Approved .... this is annoying

    thanks Jan

Thank you for this suggestion Jan, we can see how it would be valuable for you and subbies equally. It’s on our radar!

  8. INVITES & RESPONSES PAGE

    INVITES & RESPONSES PAGE
NOTES - auto date (4 digit eg 20/07) and maybe even an auto initial (2 digit eg JR) as this info does not appear on the printed version
    thanks Jan

    Hi Jan,
Thanks for this feedback, we’ll take it on board, we can see how this information would be handy when you print this page.

  9. Collapse All Option in Documents Section

    Hi Estimate One,

I am looking to suggest a potential option to add a button in the documents section which will allow me to collapse/condense all the documents under my headings. Particularly for larger projects with lots of documents and revisions this would be really helpful instead of having to scroll through a large web page and clicking each heading to condense the documents.

    Thanks for your help.

    Hi Nikolay,
Thanks you for this feedback, we understand how this would make using the platform much easier to use. We’ll look into how we can address this for you.

  10. Editing the "Invitation to Tender" Email

Head Contractors should have the ability to edit the contents of the Invitation to Tender email.

Notes on how we want prices to broken out or general information needed by each trade can be entered this way.

Currently, this can only be achieved by sending a correspondence immediately after issuing the tender package, or including a pre-made .pdf file into the trade package that contains this extra information.

    Hi Jess,
Thank you for this suggestion, we are looking into the ability to customise your invitation emails to give you more control. Stay tuned!

  11. Display the head estimator's mobile number in the tender invitation letter

On every "Invitation to Tender" email sent out to subcontractors, the name of the builder's company, name of the head estimator & head estimator's email details are displayed.

The mobile number of the head estimator should also be displayed here to encourage subcontractors to call the estimating team directly should they encounter any problems during the tender stage.

    Hi Jess,
We currently surface the company office number to maintain confidentiality of private information. We do understand that every company has unique requirements, so we may consider adding an option to include a mobile number to tender invitation.
For the time being, we recommend utilising the project description section to share alternate contact number/s. Happy tendering!

  12. Display mobile phone number over the office phone number

In the "INVITES & RESPONSES" tab of a project, the "PHONE" column will always prioritise the office number/company number of each contact over their direct phone number.

E.g. if I add a phone number to the company (02 XXXX XXXX) and then add a contact to that company with a mobile number (04XX *** ***), then the company number will be displayed in the "PHONE" column of the project when an invite is sent to that person rather than their mobile number.

    Hi Jess,
We can see this is an important feature to you! We currently surface the company office number to maintain confidentiality of private information. We do understand that every company has unique requirements, so we may consider adding an option to include a mobile number, that way you can chose what’s right for you and your business.
For the time being, we recommend utilising the project description section to share alternate contact number/s. Happy tendering!

  13. Display a contacts position to all subcontractor list screens - lists, add single, add multiple, monitor responses

It would be nice to have the option to turn on a column for the contacts position everywhere subcontractor names are listed.
    * Lists
    * Invite Single
    * Invite Multiple (which I believe is now available)
    * Monitor Responses

Pretty much anywhere a contact name is listed.

    Hi Christine,
Thanks for your suggestion, we are currently looking into surfacing more subcontractor information throughout the EstimateOne application. We will consider your suggestion in our development of the app, thanks for getting in touch.

  14. 'Maybe Quoting'

Add a category to the Invites & Responses page called 'Maybe Quoting'. This will greatly assist senior management to call prospective sub-contractors and convince them to quote the project.

    Hi Michael,
We appreciate a tentative quoting option / “maybe” quoting would definitely be valuable in the procurement process. We are planning on reviewing the response statuses available, so we will take your suggestion into consideration. Thank you!

  15. Response & Quote Rate calculation

When inviting multiple contacts at a company to a package and only one person responds or says they're quoting, should we mark off all contacts in that company with the same response? Doing this impacts the response and quote rates, so perhaps the quote and/or response rate calculation should be based on the company/package level

Thank you for your suggestion, we appreciate this would be impacting your response rates. We will keep this in mind for a method of improving invitation management. Until then, we would recommend you continue to mark off the individual contact as quoting and revoking the invitations of the contacts who are not quoting.

  16. Show projects from all of our accounts on our Public Tender Page

We have three separate accounts across three states (QLD,VIC,NSW).

We would rather direct Subbies to a single page and have them see all of the work they can price.

In the case of NSW we have projects that are being tendered out of Sydney and Brisbane depending on where in NSW the project is. It would be good if Subbies could just see all tenders in NSW in the same place.

Thank you for your suggestion. This issue is something that only comes up with a small number of Builders who have multiple office location and Public Tender Pages, so we are looking into how feasible this is for us to do.

We appreciate that this would be of great value to you and the Subcontractors and hopefully is something we can support for our Head Contractors with multiple Public Tender Pages in the future.

  17. Send a single Weekly Report and Weekly Tender Reminder email for all of my accounts rather than an email for each

If I am listed as a User on multiple accounts and I request my access link I am sent one email for all of my accounts.

However, when I am listed as a User on multiple accounts, I am sent a separate tender reminder email and weekly report for each account that I have access to.

All emails sent by EstimateOne should be sent once and refer to all the accounts I may have access to.

Thanks for your suggestion, this makes sense, we’ll look into how we can improve the emails and reports we send out.

  18. Don't include "RE:" in the subject of correspondence

RFI's issued for construction projects all include "RE: PROJECTNAME" in the email subject line. Even if the correspondence is the very first thing sent about the project.

RE: in email subject is used to notate a reply. I think EstimateOne should avoid including this in the email subject and instead include the type of correspondence i.e "RFI" or "EOT"

Thanks for your suggestion here, understand the convention of using ‘re:’ in email subject lines, we’ll look into how this could be improved.

  19. Include the Date and Creator of a Note when exporting Notes to Excel.

At the moment we are having to manually input this information. As a number of our staff could be adding notes to a particular project at various times, it would be helpful to automatically include it.

Thanks for your suggestion! We can definitely understand why date/creator information would be important. We are happy to take this onboard as a consideration for future improvements.

  20. Include the Builder's phone number in the Invitation to Tender email.

Currently the Subbie can only view the Builder's phone number on the "Help and Support" page of the download page and on the "Correspondence' exports.

If the phone number is shown on the correspondence when exported to PDF I think it should also appear on the correspondence itself.

If we are issuing invitations to Subbies that we do not have a close working relationship with it would be really helpful for them if they were given access to our phone number as well as our name and email address.
